Terms of Service
Who we are
ClerkPages is a service run by Sidekick Digital Limited, a company registered in England and Wales (company number 08897147). Our registered office is Unit A, 82 James Carter Road, Mildenhall, Suffolk, England, IP28 7DE. You can contact us at hello@sidekickdigital.co.uk.
What ClerkPages does
ClerkPages converts Word documents (.docx) and text-based PDFs into accessible HTML pages. These pages are published at public web addresses (URLs starting with /p/) so you can link to them from your council's existing website. The service is designed for parish and town councils in England.
Account and acceptable use
When you subscribe, we create an account linked to your email address. You sign in using a magic link sent to that email—no password is needed.
You are responsible for the content you upload and publish through ClerkPages. By uploading a document, you confirm that:
- you have the right to publish it
- it does not contain personal data that should not be made public
- it does not contain content that is unlawful, defamatory, or infringes anyone else's rights
Council agendas and minutes are typically public documents. Take care not to upload confidential papers, exempt items, or documents containing personal data that should not be published. We do not review uploaded content before it is made available.
Public publishing
When you upload a document and it converts successfully, ClerkPages publishes the HTML version at a public web address. These pages are intended to be linked from your council website and are visible to search engines. You can share the links as you would any other public document.
Price and payment
ClerkPages costs £79 per year per council, excluding VAT. The subscription is billed annually via Stripe. You can pay by card at checkout.
You can manage your subscription, update payment details, or cancel at any time through the billing portal (available when signed in). Cancellation takes effect at the end of your current billing period—you keep access until then.
Refunds are considered on a case-by-case basis. If you cancel within 14 days of subscribing and have not used the service extensively, contact us and we will usually offer a refund. Beyond that, refunds are at our discretion.
Availability
We aim to keep ClerkPages available, but we do not guarantee any particular level of uptime. The service may be unavailable from time to time for maintenance, updates, or reasons outside our control. We will try to give notice of planned downtime where possible.
Accessibility and compliance
ClerkPages is designed to help you publish documents in accessible HTML format. We aim for the output to meet WCAG 2.2 AA, the standard referenced in GOV.UK guidance for public sector websites.
However, ClerkPages does not guarantee that your published documents will meet any particular accessibility standard, comply with the Public Sector Bodies (Websites and Mobile Applications) (No. 2) Accessibility Regulations 2018, or satisfy any other legal requirement. The quality of the output depends partly on the quality of the source document you upload.
Your council remains responsible for its website, its published documents, its accessibility statement, and compliance with applicable law. ClerkPages is a tool to help, not a substitute for your own checks.
Limitation of liability
To the extent permitted by law, our total liability to you for any claims arising from or related to ClerkPages is limited to the amount you have paid us for the service in the 12 months before the claim arose.
We are not liable for any indirect, incidental, or consequential losses, including loss of data, loss of revenue, or claims by third parties.
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under English law.
Changes to these terms
We may update these terms from time to time. If we make significant changes, we will let you know by email or by a notice on the website. Your continued use of ClerkPages after changes take effect means you accept the updated terms.
Termination and your data
You can cancel your subscription at any time through the billing portal. When your subscription ends, you will no longer be able to upload new documents or sign in.
After your subscription ends, we will keep your published documents available for a reasonable period to avoid breaking links on your council website. If you want us to remove your documents sooner, or if you want to export your data before cancelling, email us at hello@sidekickdigital.co.uk.
We may also terminate your account if you breach these terms or if we stop offering the service. We will give you reasonable notice where possible.
Governing law
These terms are governed by English law. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
